Position Title: Practice Operations Assistant
Location: Portland, ME (MWF) & Saco, ME (Tu/Th)
Schedule: Part-time mornings, 7:00 AM – 12:00 PM

At Dirigo Physical Therapy & Performance we are a multidisciplinary health and performance practice offering physical therapy, recovery services, yoga, strength & conditioning, nutrition, and more. We are seeking a Practice Operations Assistant to support daily operations, maintain a clean and welcoming environment, and provide an excellent client experience.
Key Responsibilities
- Answer phone calls and assist clients with our virtual check-in system.
- Maintain digital forms and records, including scanning files into patient charts.
- Perform general clinic upkeep: in-house laundry, cleaning and sanitizing equipment, prepping treatment rooms, restocking supplies, and keeping common areas welcoming.
- Prep recovery equipment and set patients up (Normatec, sauna, etc.), ensuring safe and comfortable use.
- Manage supply ordering and inventory tracking.
- Process and distribute mail and deliveries.
- Support staff with medical scheduling software and appointment coordination.
- Assist with light clerical and organizational tasks.
- Contribute to community and marketing initiatives (posting flyers, organizing event materials, assisting with workshops).
Skills & Qualifications
- Strong organizational skills and attention to detail.
- Proactive problem solver; takes initiative without constant supervision.
- Excellent communication skills (phone, in-person, digital).
- Comfort with cleaning, laundry, and light physical tasks.
- Basic computer literacy; experience with medical scheduling software preferred.
- Ability to scan, upload, and organize digital files accurately.
- Time management and ability to prioritize tasks.
- Adaptability in a fast-paced, multi-service environment.
- Professional and approachable demeanor with patients and team members.
Preferred: Prior experience in a health, wellness, or fitness setting.
Schedule
- Portland: Monday, Wednesday, Friday — 7:00 AM – 12:00 PM
- Saco: Tuesday, Thursday — 7:00 AM – 12:00 PM

Compensation: $18.00 - $21.00 per hour
